    Sollis Therapeutics is a clinical stage specialty pharmaceutical company developing innovative non-opioid pain therapies to treat important pain conditions.  Sollis’ model is to in-license compounds in mid to late stage and complete development work required for approval.


    As such, late stage clinical trials are a key part of the strategy of Sollis and critical to our success. Sollis intends to execute clinical trials in partnership with Contract Research Organizations and other service providers. Sollis believes working relationships with such entities is a core competency that can determine success or failure of clinical trial activities and indeed, the company.


    The role, Senior Executive Assistant / Office Manager, is intended to provide day-to-day support for corporate executives and for corporate activities and will report to the CEO.


    This role will interface with all office based vendors, facilities management and others to ensure proper functioning of Sollis’ physical space(s). The person will also be responsible for managing the travel schedule and calendar of the CEO, COO, and other corporate executives as assigned, prepare presentation materials for discussions, schedule large group meetings and work with external stakeholders as required. 


    One of the most critical features of the role is to maintain the Sollis Board of Directors calendar and ensure successful coordination of meeting dates, agendas, materials, and travel schedule of Directors.




    Undergraduate degree in any discipline


    Experience, Skills, Knowledge

    • 10 + years experience in corporate / academic setting, preferably in the pharmaceutical industry or other life sciences setting
    • Excellent written and verbal communication skills
    • High degree of proficiency with Microsoft Office software, especially Word and Powerpoint
    • Demonstrated ability to follow processes and procedures and work autonomously in executing on directives
    • Demonstrated ability to think critically, identify and solve problems
    • Excellent time management skills and ability to multitask
    • Attention to details and significant coping skills as required to thrive in a startup environment
    • Proven ability to interact well in a multifunctional team setting
    • Can do attitude, flexibility, and mental agility

    Summary of Position:


    • This position is the most senior administrative role within Sollis and is critical to the successful functioning of the Sollis office and facilities
    • The role is responsible for successful execution of Sollis Board of Directors meetings.
    • This role is responsible for ensuring proper functioning of all Sollis’ physical spaces.
    • This position will be responsible for scheduling and coordination of activities for the CEO and COO as well as for all office related responsibilities
    • The position also will work closely with the CEO, COO, all Sollis employees and external stakeholders (e.g. support staff for Board members).

    Job Duties/Responsibilities:


    Provide support for CEO and assigned executives:


    • Remain continuously aware of executives’ obligations and schedules
    • Make arrangements for travel and meetings, outside office activities, etc. for the Sollis Board of Directors and executives
    • Ensure that executives and Directors expenses are processed appropriately
    • Ensure the smooth travel and experience for all corporate guests
    • Address all administrative needs of the Sollis offices including:
      • Physical space considerations and maintenance
      • Office or personnel moves
      • Equipment purchases and maintenance
      • Supply sourcing


    Oversee vendor relationships:


    • Establish and maintain relationships with all Sollis administrative vendors such as:
      • Facilities landlord
      • Expense software vendors
      • Travel vendors
      • Office supply, etc.


    Interactions with other functions:


    Maintain an excellent working relationship with all internal Sollis staff/functions


    Other responsibilities:


    This role will also provide support to other Sollis projects and needs, as appropriate and as time permits.
